About this role
We are seeking a Senior Administrative Coordinator to provide support to the R&D, Regulatory & Commercial Leadership Team within the Law Department. The position will report to a Vice President/Associate General counsel and support two vice presidents, a senior vice president and approximately 15 additional lawyers. This role will require 4 days per week onsite at our HQ Campus in Sleepy Hollow, NY. This is not available as a fully remote / hybrid role. A typical day might include the following: Manages calendars and coordinates meetings, appointments, conferences, and interviews, exercising judgment to prioritize competing demands Books travel and creates and processes expense reports Plans and executes internal and external department events and team meetings, including ordering catering Maintains and updates the team SharePoint site, ensuring content is current and accessible Supports contract intake and data entry in Icertis Creates and updates PowerPoint presentations, partnering closely with attorneys and business partners to deliver polished, on-brand materials Provides support for a wide variety of assignments, some of which are confidential in nature, and special projects Escorts candidates and visitors as needed Orders, stocks, and distributes office supplies Onboards new staff to ensure hardware and technology, workspace, supplies, etc. Provides backup support for other administrative coordinators, reinforcing a collaborative, team-based support model. This role may be for you if you have the following: 5 years of relevant administrative experience; providing administrative support to senior leaders in Legal / Law Firm setting is preferred. Excellent interpersonal and oral and written communication skills, with a proven ability to collaborate seamlessly across cross-functional teams, senior leaders, and fellow administrative coordinators Advanced technology skills, including proficiency in PowerPoint, Excel, SharePoint, Word, Outlook, and Adobe Acrobat Pro; hands-on experience leveraging AI tools such as Copilot and to streamline workflows and improve team efficiency Ability to prioritize – strong organizational, planning, and project management skills are vital Experience utilizing travel software and preparing expense reports - Concur preferred Does this sound like you?
