Job Description
The Project Administrator will provide administrative and operational support to the VIDA Rail TA Project Director and the wider leadership team. Reporting directly to the Commercial and Project Services Manager, this role is integral to the effective day-to-day operation of the TA project and forms part of the Project Services Team. The Project Administrator plays a key role in coordinating project activities, supporting project governance, and ensuring the efficient delivery of administrative functions across the project. Provide administrative support to the TA Project Director and wider leadership team, including calendar management, expenses, credit card administration, and ad hoc assistance. Coordinate project onboarding and offboarding, support project inductions, and assist with document control and Project Services activities as required. Manage office operations, including meeting and room bookings, floor plan coordination, office logistics, catering, supplies, visitor access, and liaison with office facilities and JV IT. Coordinate governance activities by scheduling operations and SteerCo meetings, preparing agendas, taking meeting minutes, and supporting project presentations and team briefings. Plan and coordinate team events, Rewards & Recognition (R&R), social, health, and charity initiatives to promote engagement and a one-team culture. Provide general administrative and operational support to ensure the efficient day-to-day running of the VIDA Rail TA project.
Qualifications
2–5+ years' experience in a Project Administrator, Team Administrator, or similar administrative support role, preferably within engineering or professional services. Strong communication, stakeholder management, and teamwork skills with a professional, collaborative approach. Proficient in Microsoft Office Suite and familiar with document control and business management systems. Excellent organisational, time management, and prioritisation skills, with strong attention to detail and discretion in handling confidential information. Proactive, adaptable, and resilient, with strong problem-solving skills and the ability to thrive in a fast-paced team environment.
