Company: Mercer Description: We are seeking an Executive Assistant to join our Team at Mercer. You will be joining us in building Oliver Wyman’s new hub in Lisbon. This is a hybrid role that has a requirement of working at least three days a week in the office. As an Executive Assistant you will provide executive level administrative support to 2 - 3 Partners. Your key responsibilities will be: complex meeting schedule management, communication with external and internal clients, travel coordination, maintaining marketing CRM database and expense processing. We will count on you to: Provide high-level executive support to 2–3 Partners, managing complex calendars, coordinating meetings, handling correspondence, preparing documents, processing expenses and timesheets, and arranging domestic and international travel. Support client development activities by maintaining CRM records, tracking business development opportunities and sales pipelines, coordinating follow-up activities, and proactively scheduling client meetings to strengthen relationships. Build and maintain strong relationships with internal stakeholders, clients, and executive assistants, ensuring seamless communication and an exceptional client experience. Coordinate office and administrative activities, including meeting logistics, client hospitality, marketing mailings, and maintaining organized Partner files and records. Collaborate with the Executive Assistant team by providing coverage, supporting onboarding and training of new team members, and contributing to process improvement initiatives. What you need to have: 2–3 years of experience as an Executive Assistant supporting senior executives, preferably within a fast-paced professional services environment. Fluency in English and Greek, with excellent written and verbal communication skills and the ability to build relationships across multicultural teams. Strong organizational, prioritization, and multitasking skills, with exceptional attention to detail, discretion, and the ability to manage confidential information. Proficiency in Microsoft Office (Word, Excel, PowerPoint); experience using Outlook and CRM systems is advantageous. What makes you stand out?
