About this role

We are looking for a Learning & Development Specialist to help organize and support training programs for employees. This role focuses on coordinating training sessions, handling registrations, answering employee questions, supporting onboarding activities, and keeping training data and reports up to date. You'll work closely with employees, managers, and external training providers to ensure everything runs smoothly and on time. Our office is situated in Cracow, and we embrace a hybrid working model (50/50). What the day will look like: The aim of the role is to provide comprehensive administrative support for end-to-end training processes, ensuring smooth delivery of learning programs and operational excellence within the Talent Development function. Training Administration (Core Focus) Manage logistics for all training sessions (room booking, materials, technical setup). Coordinate vendor communication and scheduling. Handle training registrations and maintain accurate participant records. Prepare and send invitations, reminders, and confirmations. Collect and analyze post-training feedback for reporting purposes. Manage mailbox inquiries and provide timely responses to employees. Support employees with development-related queries, including training offerings and loyalty agreements. Process settlements and ensure timely financial reconciliation. Onboarding & Induction Full coordination of New Joiner Induction programs, including scheduling and communication. Data & Reporting Maintain training data. Generate reports for attendance, feedback, and compliance metrics. Process Improvements Look for opportunities for automation and efficiency within administrative workflows. Skills and experience that will lead to success: 1–2 years in training administration or HR operations Familiarity with vendor management and financial processes (e.g., settlements, purchase orders). Organizational Skills: Ability to manage multiple tasks and deadlines in a fast-paced environment. Attention to Detail: High accuracy in data entry, reporting, and documentation. Communication Skills: Clear and professional written and verbal communication in English and Polish. Customer Service Orientation: Proactive and responsive in handling employee inquiries. Technical Proficiency: MS Office Suite (Excel, Outlook, PowerPoint); Experience with LMS platforms and SharePoint is an advantage. Problem-Solving & Initiative: Ability to identify process gaps and propose improvements.

Team
