As Facilities Coordinator at the Rolls-Royce Centre in Kraków, you'll be the welcoming first point of contact for everyone on site, and the person who keeps day-to-day operations smooth, safe, and professional. Your week spans vendors, health and safety, building systems, finance, and client relationships, so no two days look the same. What you'll do
Manage vendors and contractors — oversee daily performance, run inspections and spot checks, review RAMS documentation and confirm HSE readiness before work starts, and schedule supplier activity (including outside standard hours when the site needs it). Lead health and safety on site — carry out regular H&S inspections to keep the site compliant with safety procedures and legal standards, build a proactive "good catch" culture across suppliers, and respond to emergencies and defects. Keep building systems running — apply your technical knowledge of HVAC, fire protection, and mechanical and electrical systems to troubleshoot issues, investigate root causes, and put the right fixes in place. Run day-to-day operations — handle requests through Corrigo and FM Profesal from logging to completion, manage stock, office orders, and maintenance tracking, and conduct regular floor walks to spot and resolve issues before they escalate. Step in as Facilities Manager backup — cover absences and provide flexible support across roles, including reception, so the site never misses a beat. Be the go-to for clients and stakeholders — deliver standout service, act as the escalation point for facilities issues, build strong relationships with key contacts, and liaise with the landlord when needed, while spotting opportunities to improve service and reduce cost. Own finance and documentation — raise and process POs, manage supplier budgets and approve quotations within your limits, support monthly GR receipting and invoicing, and keep accurate records and manuals. Support risk and continuity — contribute to property risk management and business continuity planning, make sure suppliers maintain BCP and incident procedures, and follow escalation protocols in line with JLL guidelines.
What we're looking for
Health and safety know-how — a solid grasp of occupational health and safety requirements and compliance standards in an office environment. Technical aptitude — confidence with building systems (HVAC, UPS, BMS, M&E) and the ability to understand technical problems and talk them through with specialists. Analytical, problem-solving mindset — you dig into issues, find the root cause, and deliver effective solutions. Vendor coordination skills — you can manage contractors, monitor performance, and drive quality improvement. Strong organization and multitasking — you keep competing priorities moving across operations, safety, and administration without dropping a ball.
