Job Description
PERSONAL ASSISTANT TO GLOBAL HEAD OF ON PREMISE You'll provide high-quality executive support to the Global Head of On Premise, ensuring efficient calendar management, meeting preparation, and seamless travel coordination, including flights, accommodation, and visa arrangements. In addition, you'll manage team travel and vacation requests and oversee expense approval processes, contributing to smooth day-to-day operations across the function. BUSINESS PLANNING & BUDGET CONTROLLING You'll support the business planning cycle through the preparation and coordination of Deep Dives, administration of the BP Tool, and consolidation of team and department feedback. In parallel, you'll hold full responsibility for budget controlling within the global On Premise function, including planning, tracking, monitoring, invoice management, and system-related ownership as CPM Power User. MEETING ORGANIZATION You'll also be responsible for the end-to-end planning, coordination, and execution of a wide range of global and internal meeting formats, ensuring efficient organization and flawless delivery. This includes regular team and leadership meetings, strategic and commercial alignment formats, as well as large-scale events such as On Premise Summits, Academies, and the Global Sales Year-End Meeting. Acting as a central point of contact, you'll ensure smooth communication with participants, markets, and stakeholders while managing all organizational and logistical aspects, including side programs. GLOBAL ON PREMISE TEAM COORDINATION & COMMUNICATION You'll play a key role in supporting team effectiveness and connectivity across the global On Premise organization. This includes coordinating HQ trainings, onboarding processes, workplace setup, and internal communication initiatives such as weekly travel updates and team newsletters, ensuring transparency and alignment across the department. TRAINING & EXPERIENCE ORGANIZATION You'll ensure the professional planning and delivery of AOM Trainings and Home of the Bull Experiences by managing participant communication, travel logistics, accommodation, room setup, and side activities. With a strong focus on quality and executional excellence, you'll create impactful experiences while maintaining budget transparency and cross-charge accuracy. SYSTEMS & PLATFORM OWNERSHIP As the functional owner of key team platforms, you'll act as My Wings Key User by creating and maintaining training content, supporting employees globally, and ensuring proper tracking and reporting. In addition, you'll manage the On Premise SharePoint environment, maintaining both content quality and platform functionality to support effective team communication and knowledge sharing.
Qualifications
3+ years experience in working with project management, communication & coordination, data & budget. Studies in Business, Finance or other business-related education. Fluent in English, other languages are considered an asset (e.g. German). Proficient in Outlook, Excel and PowerPoint. Open and positive minded; “hands on” attitude. Excellent communication and organization skills, quick learner, self-motivated, proactive and able to work independently.
Additional Information
Due to legal reasons, we are obliged to disclose the minimum salary according to the collective agreement for this position, which is €2.334 gross per month. However, our attractive compensation package is based on market-oriented salaries and is therefore
