Provide administrative support, including recordkeeping, creating and updating forms, creating and updating spreadsheets. Greet and manage walk-in traffic and field phone calls, representing the company in a professional manner. ESSENTIAL JOB FUNCTIONS : Creates and maintains personnel files. Creates and updates Excel spreadsheets and other documents as required. Files confidential and other departmental documents. Greets employees, customers, visitors, vendors with a warm smile, with a pleasant attitude and with the utmost professional behavior. Assist with Emergency & Pandemic Response activities when appropriate (i.e. temperature screenings, health questionnaires, etc.) Assist with coordination of events with the ESA Committee. Monitors security screens and analyzes recordings as needed. Maintains proper inventory of PPE for the front office area and places orders with Safety Team / Purchasing for replacement items. Proofreads departmental documents as needed. Answers phone calls with proper greeting, screens callers, and transfers appropriately. Sets up and maintains lobby. Notifies appropriate personnel of visitors. Assists other departments as needed. Manages incoming and outgoing letters and packages and delivers to appropriate employees. Orders food when needed for meetings. Assists with set-up of company meetings. Ensures substitute receptionist is properly trained. Prepares and distributes reports. Files and maintains group training/policy records. Updates Communication Board. Sources candidates, screen resumes, arranges interviews, tracks applicants, performs reference checks, and background checks. Ensures visitors and vendors follow safety, PPE, and other related plant procedures. Assists current employees with company systems to include new hire training, resetting passwords, requesting time off and managing personal information. Performs other job duties as assigned. QUALIFICATIONS : Must be able to perform job duties with minimal supervision. Performs other job duties as assigned. Must have demonstrated ability to communicate in writing. Must be able to relate effectively with others at all levels of the organization. Must be able to maintain good attendance. Must have mathematical ability to perform calculations required by the job. Must be computer literate including the ability to maintain basic databases, do word processing, create and maintain spreadsheets using Excel. Must be well-organized and able to manage time efficiently. Must be able to multi-task and strong attention to detail Must be able to maintain a professional demeanor at all times. Must have a professional appearance. Must be able to perform essential functions of this job with or without reasonable accommodation.
