What you’ll do: Coordinate and schedule interviews by partnering with candidates, hiring managers, recruiters, and interviewers to ensure a seamless, efficient, and positive hiring experience. Prepare, organize, and distribute interview-related materials, including resumes, interview guides, evaluation forms, and other supporting documents. Coordinate candidate travel arrangements and related logistics, where applicable, to support the recruitment process. Process candidate and interview-related expense reimbursements in compliance with company policies and procedures. Manage scheduling requests and workflow activities using case management tools, applicant tracking systems, and Microsoft Outlook. Maintain accurate records, documentation, and reporting to support operational excellence, data integrity, and service delivery objectives. Deliver a positive and professional experience for candidates and internal stakeholders throughout all stages of the recruitment process. Act as a brand ambassador for the organization by fostering a welcoming, respectful, and inclusive candidate experience. Identify and recommend opportunities to improve processes, documentation, systems, and operational workflows to enhance efficiency and effectiveness. Escalate complex scheduling, operational, or candidate-related issues to the appropriate stakeholders when additional support or resolution is needed. Participate in cross-training, knowledge-sharing, and team development activities to promote operational flexibility and continuous learning. Collaborate with team members, Talent Acquisition partners, HR stakeholders, and business leaders to improve service quality and support hiring objectives. Contribute to special projects, process improvement initiatives, and other responsibilities that support recruitment operations, organizational goals, and business priorities. Qualifications: Bachelor's degree or an equivalent combination of education, training, and relevant professional experience. Experience in Human Resources, Customer Service, Shared Services, Recruitment Operations, or other customer-focused and operational environments. Strong verbal and written communication skills, with the ability to engage professionally and effectively with diverse stakeholders across different levels and functions. Proficiency in learning and utilizing technology platforms, including HR systems, case management tools, applicant tracking systems (ATS), and Microsoft Office applications. Demonstrated ability to deliver high-quality customer service while managing competing priorities in a fast-paced, service-oriented environment. Strong attention to detail and accuracy, with the ability to manage multiple tasks, deadlines, and administrative processes effectively. Excellent critical thinking, problem-solving, and organizational skills, with the ability to make sound decisions and adapt to changing business needs. Ability to navigate complex scheduling requirements and identify practical solutions that support candidates, hiring teams, and business objectives. Strong time management skills, with the ability to work both independently and collaboratively within a team environment. Proactive and growth-oriented mindset, with a willingness to learn, share knowledge, contribute ideas, and support continuous improvement initiatives. Flexibility to support a variety of HR Services processes, programs, and operational workstreams as business needs evolve. Availability to work a mid-shift schedule (1:00 PM to 10:00 PM).
