About this role

We are looking for a highly proactive, organized, and tech-savvy Executive Assistant (EA) to partner directly with our head of Navan Travel Marketplace. In a fast-scaling technology and product organization, our leaders move at lightning speed—balancing product launch cycles, technical infrastructure reviews, engineering sprints, and cross-functional board meetings.

This is not a traditional administrative role. You will act as a strategic partner, gatekeeper, and operational engine. You will have a front-row seat to how our product and engineering decisions are made, managing the chaos behind the scenes so your executive can focus on building the future.

You are the ultimate force multiplier. You possess the high EQ required to navigate complex organizational dynamics, the project management skills to keep a global engineering and product team aligned, and the technology-fluency to understand how an AI-first product org operates

What You'll Do

• Calendar & Time Management (The Strategic Gatekeeper)

• Master the Calendar: Own and optimize an incredibly complex, shifting calendar across multiple time zones. Prioritize meetings ruthlessly, ensuring the executive is spending time on high-leverage activities while preserving critical blocks for "deep work" and product strategy.

• Context-Driven Scheduling: Learn the rhythms of a tech/product org (e.g., sprint planning, roadmap reviews, ship rooms, and board prep) to anticipate scheduling needs before they arise.

• Meeting Preparation: Ensure the executive is fully prepared for every meeting by gathering agendas, context, metrics, and pre-reading materials from product managers and engineering leads beforehand.

Team Operations & Event Logistics (The Execution Force)

• High-Impact Event Planning: Own the end-to-end planning and execution of large-scale team events, including product/engineering offsites, hackathons, global all-hands meetings, or partnership events.

• Travel & Expense Management: Coordinate seamless, end-to-end global travel logistics (flights, hotels, transport) and manage timely expense reconciliation where applicable.

• Special Projects: Step in to manage ad-hoc operational projects, track action items from leadership meetings, and follow up with cross-functional partners to ensure deliverables stay on track.

Communication & Culture (The Org Connector)

• Executive Ghostwriting & Comm Management: Draft, edit, and proofread internal announcements, team updates, and Slack announcements on behalf of the executive. Keep a pulse on the cultural health of the tech and product org.

• Gatekeeping with Empathy: Act as a warm, professional, and accessible bridge between the executive and their global team of engineers, product managers, designers, external partners and cross-functional teams.

• Confidentiality: Handle highly sensitive information—including product roadmaps, personnel changes, and financial data—with absolute discretion and confidentiality.

What We're Looking For

• Tech & Product Literacy: You are deeply familiar with how modern tech companies operate. You know your way around tools like Slack, Google Workspace, Jira, Confluence, and modern AI productivity tools, and you understand tech terminology (e.g., sprints, deploys, roadmaps, APIs).

• Ruthless Prioritization & Ambiguity Mapping: You don’t get flustered by sudden changes. You can successfully navigate an ambiguous, hyper-growth environment
