The Job: As an Executive Assistant, Legal, you’ll be part of our Legal team working as a hybrid employee. You’ll get to: Executive Support Provide administrative support to VP level leaders of the Legal Department. Manage calendars, meeting coordination, travel, and expense reporting across global time zones. Coordinate logistics for meetings and prepare materials as needed. Prioritize competing requests and ensure timely follow-up.
Team
Coordination Support department meetings, leadership meetings, and team events. Coordinate schedules across internal and external stakeholders. Assist with onboarding and offboarding activities. Maintain organizational charts, distribution lists, and team resources. Administrative Operations Process invoices, purchase orders, and expense reports. Prepare and/or review, route for signatures and file law firm engagement letters. Coordinate office and administrative needs for the Legal organization. Maintain files, records, and confidential information. Support document preparation, formatting, and presentation materials. Use approved AI-enabled tools to support drafting, summarization, meeting preparation, document organization, and workflow efficiency, while maintaining appropriate confidentiality and review of AI-assisted outputs. Coordinate with IT business partners on technology projects, including gathering requirements, tracking project status, facilitating stakeholder communication, and supporting implementation of tools and process improvements for the Legal Department. Partnership & Communication Build effective working relationships across Legal and partner functions. Serve as a point of contact for routine administrative requests. Communicate professionally with employees, leaders, and external contacts. Exercise discretion when handling sensitive information. In fact, you embrace it. You also have: Bachelor’s Degree required. 5+ years of executive or administrative support experience. Experience supporting senior leaders preferred. Active notary license or willingness to obtain license Strong organizational and time management skills; process improvement mindset. Excellent written and verbal communication skills; ability to prepare and finalize leader-ready documents, presentations, agendas, and meeting materials. Exceptional discretion, professionalism, sound judgment, and ability to prioritize competing senior-level requests in a fast-paced legal environment. Professional stakeholder management with senior leaders and external contacts. Proficiency with Microsoft Office and collaboration tools; familiarity with Adobe Creative Suite or similar design/document tools preferred. Comfort with ARIBA, Legal Tracker, and other e-billing platforms and. enterprise systems, including expense, procurement, matter management, document management platforms. Familiarity with industry-recognized Legal technology and contract management platforms following applicable training. Proficiency using approved generative AI tools to improve administrative efficiency and work product quality, and identifying process improvements, while exercising sound judgment, confidentiality, and
